Project Billing Coordinator - Full-time

We are hiring an experienced billing coordinator to support our administration department as it continues to grow.

You will be an integral part of supporting our team which is deeply committed to their work of problem-solving for a wide array of industries (high tech, architectural, industrial, marine). We are looking for an individual who shares our team’s enthusiasm for our industry, and is highly organized, adaptable, and able to prioritize tasks while working independently and as part of the team.

Responsibilities Include:

  • Preparing client billings and associated job cost reports, labor transfers, interest billings, extra work authorizations, and project close-out reports
  • Providing assistance to other Accounting Team members as required, and sharing in the responsibility of some administrative duties, including acting as back-up on our phone system
  • Submitting all payment Applications and process/complete client billing forms as needed
  • Ensuring project file integrity
  • Reviewing, processing, and tracking Change Orders and Change Order Requests
  • Handling data entry input using Microsoft Office software

Project Assistant - 3D/Industrial Measurement Division

We are seeking a Project Assistant to join our 3D Scan/Industrial Measurement team.

We are hiring an experienced project assistant to support our 3D laser scanning / precision industrial measurement department as it continues to grow. You will be an integral part of supporting our team as it performs highly specialized and technical services offered by a limited number of companies. Our team is deeply committed to their work of problem-solving for a wide array of industries (high tech, architectural, industrial, marine). We are looking for an individual who will share our team’s enthusiasm.

This is an important role within the company and requires someone with a varied skill set and excellent organization and communication skills. It will involve data management, scheduling, and document control, as well as coordinating with the Accounting department for invoice management for limited, select clients.

You will need to be highly organized, adaptable, and able to prioritize tasks while working both independently and as part of this team. We will rely on you to proactively manage schedules and monitor deadlines  for our busy Project Managers.

Project Assistant Duties and Responsibilities

  • Monitor schedules and deadlines and communicate progress regularly to management
  • Maintain documentation related to staff badging for secure sites; track scheduling for badging, Asset licensing, and continuing education requirements
  • Work with Accounts Receivable on invoice preparation for limited, select clients. Includes tracking of reimbursable information and monthly progress reports
  • Assist with preparation of fee proposals, work orders, and scopes of service
  • Create, edit, proofread, and format spreadsheets, email, correspondence, reports, memos
  • Assist in coordinating efforts of outside consultants with Westlake team operation

Senior Civil Engineering Project Manager

We are currently seeking a Senior Civil Project Manager who is ready to move on to a Department Management position to lead and exciting and accomplished group of Civil Engineers.

**This position includes a Signing Bonus after joining the company.

This position requires experience managing project teams to plan and prepare construction documents for general civil projects in accordance with both local (city and county) standards and guidelines. Activities require coordinating civil design with land use planning and surveying components. Position requires technical design background in design of streets, sanitary sewer, water and storm drain and current water quality requirements. In addition, management of the civil department requires a dynamic person for networking and developing and sustaining clientele for the firm and overseeing financial aspects of the department.

Duties and Responsibilities include:

  • Overseeing, coordinating, planning and administering small- to medium-size site civil projects
  • Coordination and communication with firm Principals to help guide and grow the firm
  • Manage and mentor civil design staff, helping them to set and meet personal and professional goals
